Navigating VDR in DCS 1.51: A Practical Guide to Index Viewing

Managing deal documents often requires flexibility—whether you prefer navigating folders or working from a structured index. With the release of DCS 1.51, we’ve introduced a new way to view and interact with your Virtual Data Room (VDR) content: index viewing.

Watch our quick video on the new update here:

VDR
Index Viewing for VDR

This feature provides an alternative to traditional folder navigation, allowing users to view files through a spreadsheet-like tracker.

Here’s a breakdown of how to make the most of this new functionality:

Folder View: A Familiar Structure

The folder view remains unchanged for those who prefer a hierarchical setup. You can organize files into folders and subfolders, mirroring the structure many teams are already accustomed to. This view is ideal for users who:

  • Want to replicate existing VDRs

  • Need quick access to specific sections of a diligence request.

  • Use folders as a primary method of categorization.

Folder in VDR

To access the folder view, navigate to your VDR dashboard and select the “Folders” tab. From here, you can upload, drag-and-drop, or rearrange documents within the folder structure.

Index View: A Spreadsheet-Like Tracker for VDR

Index viewing introduces a more streamlined way to access and manage files. This option displays all documents in a single, sortable, and searchable table. Key details—such as file names, dates, tags, and statuses—are visible at a glance, enabling quicker navigation and tracking.

The index view is particularly useful for:

  • Tracking progress: Filter files by status (e.g., pending, reviewed, finalized).

  • Sorting details: Quickly locate files by upload date or custom metadata fields.

  • Collaborative workflows: Share a clear overview with teammates or external partners.

To switch to the index view, go to your VDR dashboard and select the “Export WindowIndex” tab. From there, you can:

  1. Use the search bar to find specific files.

  2. Apply filters to narrow results based on type

  3. Sort columns to organize files by date, status, or name.

Tips for Using Both Views

Each view serves different purposes, and the flexibility to switch between them allows users to adapt to varying workflows. Here are some practical tips:

  • For initial organization: Use the folder view to create a clear structure for your deal.

  • For monitoring progress: Switch to the index view to track review statuses or manage large volumes of documents.

  • For collaborating: Share the index view with stakeholders who prefer a spreadsheet-style overview.

Getting Started

Both views are accessible from your VDR dashboard in RedlineDCS 1.51. If you’re new to index viewing, start by uploading a sample set of documents and exploring the filtering and sorting features. Experiment with switching between views to find what works best for your workflow.
